Honeywell Scanner Installation
To properly use your scanner to scan items during your inventory count, you will first need to set up the scanner. This includes:
- installing the scanner software onto your PC
- checking to make sure the proper port is used to connect the cradle to the computer
- running a test to check the computer's connection to the scanner cradle
Once the scanner software is installed and tested, it is highly advisable that you print a page of your barcodes or a scan sheet and test using your scanner as well as testing the step of downloading the scanned data onto your computer prior to your first inventory with BinWise. Try to do this in advance because troubleshooting any installation issues that may arise during your inventory count can be stressful as time is usually of the essence.

You must log on as the Administrator to the computer you will be connecting to the scanner cradle

Use the link above to download the Optimus scanner software, not the cd that is included with the scanner

1. Once you have opened the link and chosen to download the file, you will be prompted to either unzip and or run the downloaded program, choose “yes” or “ok”
2. You will then be taken through the installation steps for the Optimus Software

Restart your computer (required for installation to be completed)

Echo Test The Echo Test ensures the software driver is installed properly, and determines your COM port (the USB port the scanner is plugged in to). It is recommended that you use the same computer and plug the scanner into the same USB port every month or you will be required to run this test every time you plug the cradle in.
1. Go to the Start menu on your computer
2. Click on the Optimus Software folder
3. Click on “Utilities”
4. Choose “Echo Test”

1. On the Echo Test screen, click Settings.

1. You should get a “Virtual Port” number (COM#) under Communications Parameters.
**If the words ‘Virtual Port’ are not displayed, you will need to reinstall the drivers (see next section)**
If you do not need to reinstall drivers, skip to the next section of Using the Scanner.
2. Once you confirm that there is a “Virtual Port”, click “OK” which will conclude your scanner software installation.

Once you have verified the COM port # and ensured that the scanner is set up, the cradle is receiving power and the cradle is connected, the final step to the echo test is to run it!

It should only take a moment and the green "OK!" is your indication that the echo test was sucessful. You can now close out of the optimizer echo test window and resume use or testing of your scanner.
Troubleshooting Installation - "Can't Detect the COM Port"

If you get the error above when conducting your echo test or you do not see a virtual port during your echo test, you will have to re-install or update the driver that operates your scanner.
The process is the same for both actions.

From the Start Menu, choose “Devices and Printers” or if you are working with an older version of windows, go to your "Control Panel' and look for folder/icon that manages your devices and open it.

1. Right click on ‘Silicon Labs…’ or ‘CIPHER LABS…’ icon – there may be a yellow triangle with an exclamation point beside this icon and/or you may see the icon, but listed as “Unknown Device”

1. Choose the “Hardware” tab

Click on “Browse my computer for driver software” or if you are working on an older version of Windows you may see an option to look in a specific location, choose that.

1. Type the following into the window: C:\PROGRAM FILES (X86)\HONEYWELL\OPTIMUS SOFTWARE\USB DRIVER or cut and paste this path from this document to the browse window to install the drivers. You may want to remove the spaces in the above file location in some version of Windows.
2. Check the box ‘include subfolders’.
3. Click on “Browse…”
On some computers, you may be asked to choose a location, you should choose the same one where you downloaded the Optimus Software.
You should see a notification that the computer is installing the updated drivers – if you don’t see this, try choosing another location until you do see the computer notification that your drivers are being updated.

Using the Honeywell Scanner
Using the Scanner (1)

1. Power – powers scanner on and off. You need to press the power butting for about 1.5 seconds to power on or off which is a feature that prevents accidental power down
2. These 10 keys can be used for either alpha characters or numerical input
3. Back Space – this key can be used to toggle back one space of if pressed down longer than one second, a clear code will be sent
4. Enter – there are two enter keys on the side of the scan key. Normally the enter keys are used for executing commands or confirming the input of information
5. Pressing this button will trigger the scanner to read a bar code
6. Escape – this key is used to stop a current execution/action or exit the current screen
7. The two arrow keys are used to travel up and down between menu selections
8. This key is what allows you to choose to use the keys in #2 in either alpha or numeric mode. When alpha-mode has been chosen, a small icon will appear in the lower right hand corner of the display. The letters available on each key are shown on the key itself. If you wanted to type a letter “D” you would press the #3(DEF) button once. If you wanted to type a letter “F” you would press that same key three times. To ensure you are not changing the letter of your present choice, pause at least one second between typing different letters.
When in numeric mode, numbers are typed very literally
This key can also be used as a “Function” key. This key cannot be activated alone: it must be pressed with one of the numeric keys at the same time. For example, function + 1 generates the function n#1. Function + 2 generates the function #2, etc. (up to 9 functions). Also, this key can be combined with the up/down arrow keys to adjust the contrast of the LCD. And when this key is used with the Enter key, it will turn on/off the backlight.
Using the Scanner (2)

The scanner will arrive fully charged, but you may need to plug the cradle into a power source & put the scanner in the cradle to power it on the first time. Press & hold the power button for about 2 seconds, it should turn on.

Once the scanner is on, the main menu should appear on the screen. You’ll know you are on the main menu when you see two options, ‘Start’ and ‘Utilities’
If you do not see this main menu, press the ESC key which will always take you back to the prior screen until you are all the way back to the main menu screen. This is true for any step you find yourself in which you don’t see the screen described, press the escape key until you are back to the screen you want to be on.
Using the Scanner (4)

The first step to using your scanner each time is to make sure you clear out any prior scans. This will ensure that the scanner is empty- it is designed to retain all uncleared scans until they are cleared through this step- even if the battery dies.
1. From the start menu (if not there, press ESC until you get there), choose “Utilities” (as can be seen in the image in the preceding slide)
2. Select #3: “Clear Records” before you start every inventory.

To begin scanning your cellar, from the “Main Menu” (if not there, press ESC until you get there) choose the “Start” option
You will see the screen above, with options to return to the main menu and to scan whole (or full bottles, one scan per barcode labeled bottle) or to scan part (scan a barcode or scan sheet and enter in a quantity).

When you choose “scan whole” from the prior screen, you will be taken to this screen with a cursor ready.
Simply hold down the orange scan button on the scanner and direct the top of the scanner over your barcode until you hear a beep to scan your item.
SCAN WHOLE is for scanning Full Bottles, one scan per bottle. For Bins that house multiple bottles of the same exact wine, you are welcome to scan one label multiple times since the barcodes for each SKU are identical.
Using the Scanner (7)

When you choose “scan part” from the prior screen (press ESC to get back to this screen), you will be taken to this screen with a cursor ready.
Simply hold down the orange scan button on the scanner and direct the top of the scanner over your barcode until you hear a beep to scan your item. Then you will be able to enter in the quantity of the item you have just scanned with the numeric keys on the scanner.
Then hit either one of the arrow “Enter” keys. You can then scan/enter the next item.
SCAN PART is for scanning open bottles of wine, full cases of wine, all liquor, and all beer. In this mode, you scan a label (or a barcode on a scan sheet) and enter a quantity: 0.3, 1.5, 5.7, etc. The decimal point is not automatic, therefore you will enter it in manually for anything that isn't a whole number. Additionally, for anything less than 1, you enter a ZERO before your partial quantity for any bottles with a quantity less than one, 0.7 for example.
Continue on this way, scanning whole or part until your whole inventory is scanned.
Using the Scanner (8)

Once your cellar is scanned, or at any time throughout your scanning process, you can check on your scanned entries. You can “browse” these records to double check counts. Instructions to do this are included in the general information below.
From the “Utilities Menu” (if not there, press ESC until you get there), use the arrow keys to move up or down the list of options and then pressing Enter, or choose them by their number with the numeric keys and then press Enter. The options are:
1. Transfer File
2. Browse Records
3. Clear Records
4. Reader Test
5. Settings
“Transfer File” will be covered in the next steps. “Browse records” will let you see a list of your scans so you can see if you double scanned an item, or if an item did not scan. “Clear Records” you’ve already seen instructions for. “Reader Test” allows you to check that your scanner reader is working and “Settings” you will access if you need to make changes to or troubleshoot your device.
Once you are done scanning your cellar, proceed to the steps below to transfer your scanned file to the computer and to prepare the file to upload into BinWise.
Sending Scanned File to the Computer

Connect the scanner cradle to your PC using the USB cable included with your scanner.
Be sure to use the PC where you have installed the scanner (Optimus) software.
Make sure this is a PC that has internet access so that once you are done transferring your scanned files from the scanner to your computer you can then upload your scanned file directly into your BinWise account.
Put your scanner in the cradle.

If you are on a different screen than this, press the escape key until you reach this screen

Once in the “Utilities” menu, choose option 1. “Transfer File”

After choosing “Transfer File”, you will see this screen and will choose option 2. “Send Data”

You may see this screen while the scanner transfers its file to the Optimizer software on the computer the scanner is connected to.

1. Go to the Start menu on your PC
2. Open the program ‘Optimizer.exe’

From the Optimizer window;

Select TOOLS from the Menu Bar,

Then select COMMUNICATION,

Then select RECEIVE DATA.

On this window;

set the file directory to your desktop (or an inventory folder)

File Name should be the inventory month- you can also add location or ‘scanner 1’ to the file name. It needs to be something that is easily identifiable, especially when you are dealing with multiple scanners and multiple rooms. Here are some examples of file names:

1. Save mode should be set to OVERWRITE- since you are saving your inventory files as different names, you will not lose any data by saving as overwrite.
2. Under the Communication Parameters, the COM port should be the same port you found in your Echo Test

This is what the Optimizer may show you while your file is being saved to the location you specified.

The file will be a text file on your desktop, or in the folder you designated in step 3 above.
You are now ready to upload your scanned inventory files into your BinWise account by following the steps in Inventory training.
